Overview
Townscript is an event management platform that helps event organizers create and manage events and also helps event goers find and book those events.

TS was planning to create a "on-the-go" app based on the hypothesis that the event organizers wanted a better way to track and manage their attendees whilst they were attending the event. While the TS web platform focussed on all the tasks prior to the event like creating the event and adding registrations, booking the events and tracking transactions, this app would focus on all the event organizers' tasks that happen post event-creation.

I was assigned the task designing an MVP version of this app esp. focussing on the check-in workflow of the attendees.

Product Requirements

The product's goal was to release a Minimal Viable Product in first iteration, through following steps:

Customer (Users) discussions/interviews & validations

Designing key interactions + high-fidelity mocks based on customer discussions

Design a low fidelity minimal usable app (using Google Material Design components in android)

Interview with the users

I interviewed 6 event organizers who had been regularly using the web platform to create and manage events. They were asked questions about their tasks they performed and the process they followed at the event venue for checking-in the attendees. They were also asked about the problems they faced while using the web-based Townscript Dashboard at the registration desk while the event was in progress.
84% of the organisers that were interviewed checked-in their attendees by maintaining excel sheets and crossing off the attendee name when they reached the Event Venue. They would then login to Townscript Dashboard and mark those attendees off the list to maintain a record of people who attended their events. The other 16% of the organisers (with fewer attendees) maintained a paper list which they used to confirm who has attended their event and who is left out.
Manual check-in was time consuming for events with registrations >500
For events wherein the attendees exceeded 500 nos., it was very time-consuming and tedious for organisers to individually search the attendees using their Booking ID. So a feature of checking in attendees using bar code was requested by 5/6 organisers.
Check-in should include more options (incl. Booking ID)
When they described the process of checking-in the attendeed @ Event Venue, one of the problems encountered was that couldn’t find their attendees using just their Booking ID as most of the users did not remember their Booking ID and only presented their name or email address or phone no at the Event Venue. So there was a need to filter out the attendee list using their personal details like the Email address, Name or Phone no., etc.
Notifications regarding registrations, sales etc. to be accessed "on-the-go"
Notifications about new attendee registrations on-the-go was another important feature the organisers requested, so they could keep track of new attendees using their mobile phone at their convenience to see how their event was performing. This feature was requested by 4/6 organisers.
Issuing refunds at event venue was not possible
About 4 organisers also requested the ability to manage refunds and attendee ticket cancellations on-the-go, as an additional feature.
Event annoucements notification center
Some users also requested the ability to send bulk notifications to all the users about the event announcements while the event is in progress (like breaks, names of speakers etc.) to keep the users updated via mobile app. But since this feature was requested only by a few organisers (20%), it was excluded in the first iteration.

User Goals

Organisers can track daily details of their registrations & earnings.

They can browse the attendee list, and can get real time notifications about registrations happening.

At Event Venue, Organisers can check-in the attendees arriving in real time using QR Code, Booking ID etc.

Organisers can track in real-time how many attendees have checked-in (arrived) and how many are still pending.

Feature Recommendations

Based on the user pain points, the following features were shortlisted for MVP version.
Check-in Attendees (Manual + Bar Code Scanner)
As an event organizer, I should have an ability to check-in my attendees manually or using a bar code, that will help me save time at the event venue
Stats Dashboard + Notifications
As an event organizer, I should have an ability to view numbers regarding sales, registrations etc. for all the live events, and get real-time notifications -- so I can keep track of my events "on-the-go".
Issue Refunds
As an event organizer, I should have an ability to refund either the full event amount or partial refund amount for all the registered attendees.

A simple task flow as created based on the product requirements and features to be built based on user interviews that detailed out user pain points.

I then created high-fidelity prototypes in Figma after the wireframes were finalized
